Default Military Appreciation Day 2007 (MAD 2)

Later this week the plans for MAD 2 will be posted. I hope that everyone who had the chance to participate last year will be able to join us in honoring our heroes in 2007, and those who missed out we can use all the help we can get!

Last year in just over 2 months we put together a pretty successful event and were able to take about 225 active duty military members out fishing in some God awful weather. We then had a cookout for approximately 600 people including volunteers and the family members of the men and women of the US Coast Guard, Navy, Air Force, Army and Marines.

In 2007 we hope to double that!!!

Wiley I hope that posting information about this event does not violate the rules. If it does, please let me know and I will stop and delete my post.

Friday the plan will be posted. Made some GREAT progress today and have an important meeting tomorrow.

MAD 2 is really shaping up (wait till you hear about MAD 3!)

I just submitted a request for nice weather, after last year almost anything will be an improvement!

Already seeing interest from troops in NC and SC and we are not even ready for the registration process.

If I estimated correctly we are going to need upwards of 75 volunteer boats plus the charters to make this a success.

Please keep MAY 19,2007 open on your calendar

Here is the Plan for MAD 2007. For anyone interested in volunteering, particpating or supporting this event please email me at squidrow2@alltel.net



The following teams will have a single accountable leader who is responsible for the successful delivery of their activities to the event committee.

• Registration
• Non Fishing Activities
• Fishing Activities
• Site
• Finance
• Food
• Event Oversight

Functional changes:
The operating committee is comprised of three members: Rich Anderson, Eric Floyd and Dan Smith (down from seven for MAD 1)

Any activity requiring the disbursement of funds will require a minimum of two members of the organizing committee to approve (New)

Any activity that includes the release of information, including media releases, flyers or other advertisements or updates to partner web sites, will also require a minimum of two members of the organizing committee to approve (New)

Financial Update: As of 11/28/2006 remaining funds from MAD 1 estimated at $8,000 (exact figures to be provided in December)

High Level Overview and Changes of Prominence:

• MAD 2 will once again be held at USCG Fort Macon on Armed Forces Day (May 19, 2007). The day will start with boats departing from the USCG at 4:30 AM although arrangements for earlier departures can be made.
• Captain’s Meeting will be May 18th at 6:00 PM and will feature a site walk through as well as food and beverages.
• Each boat will be assigned a departure number that will be tied directly to a departure time slot and specific spot at the dock.
• Speakers will be scheduled for approximately 5 minutes each, although there will be some variance incorporated to allow for additional time if requested.
• Awards will be scheduled in between speakers and throughout the evening.
• Food and entertainment will follow speakers
• Opportunities for socializing will be increased
• Additional activities for family members
• Confirmation from boat owners and participants will be required
• MAD will be incorporated and set up as a non profit entity. This is being done to mitigate risk associated with the event and to allow for the event to grow into a regional and potentially national event.


Specific Details and Plan items:
Registration Team (Rich Anderson)
Initial Budget Estimate $1000:
1. Arrange registration to collect full name, mailing address, email address along with home and work phone numbers (both). Information above needs to be exported into a usable, searchable format. Must be completed by end January 2007
2. Include option to register multiple people so they can fish together
3. Provide option to select only private boats or head boats rather than type of fishing (set default option to head boat if none selected)
4. Confirmation must be received 2 weeks prior to event if anyone is going to participate
5. An invitation with all of the logistics will be sent to arrive one week prior to event to all participants. This info needs to include boat name, depart time, depart location and schedule of events for family members and events after fishing plus any applicable logistics and release forms. The invitation will be needed to gain entry and one invitation per person will be required
6. Need to develop a form for the boat owner volunteers that includes their sign off so they have incentive to not back out at the last minute
7. Registration lock down 3 weeks prior to event
8. Over book registrations by 10% to account for last minute cancellations
9. Manage the waiting list
10. Registrations should also include the name of all family members participating and which activities they will be participating in
11. Coordinate with base personnel on registrations, transportation and on base publicity. Ensure information is released to all branches and bases at the same time
12. Work with web sites on advertising plans and informational releases



Non Fishing Activities Team (Ann Smith)
Initial Budget Estimate $5000:
1. Arrange for music or entertainment and increase the opportunity for socializing
2. Schedule speakers for a specific time and have prizes given away in between speakers (alternate speaker / prize / speaker…)
3. Food and entertainment to follow speakers and awards (scheduling)
4. Add some fun things to do during dinner (especially for kids)
5. Establish prizes before hand so at the event all that is needed is to “fill in the names” on biggest fish, smallest fish etc.
6. Need signs on the site showing people where to go (ex. Food that way, boats that way, restrooms etc..)
7. Procure and place American Flags throughout the site
8. Ensure signs or welcome banners are at the main gate
9. Set the stage away from the tent and also have tables outside of the tent
10. Work with motels to get discounted rates for the event
11. Include retired military in the “non fishing” aspects of the event
12. Develop friendly competitions between the boats and branches and make prizes available by branch (biggest CG fish, biggest Navy fish etc.)
13. Provide shuttle bus transportation to and from motels, head boat parking lots and USCG Ft. Macon including volunteer drivers
14. Volunteers need to be easily identifiable by shirts with name tags etc..
15. Have additional speakers of prominence
16. Contract with a photographer (COMPLETE)
17. Arrange someone to sing the Star Spangled Banner before dinner
18. Order T-shirts
19. Goodie bags for military participants
20. Goodie bags for the motel rooms
21. Arrange for a military clergy to say a blessing before the meal and possibly a “blessing of the fleet” before the boats depart in the morning

Fishing Activities Team (Rich Anderson)
Initial Budget Estimate $16,000:
1. Hire two or three head boats exclusively along with arranging 70 Volunteer boats each assigned a launch number
2. Develop detailed launch plan (Initiated)
3. Coordinate launching, all boats (other than charter and head boat) depart from and return to USCG Ft. Macon regardless of where they launch.
4. Each boat assigned a launch number (offshore boats first). Docks can handle an eight boat launch at a time; each launch period is fifteen minutes. Time frame includes all activities required for launching including tie up, loading up and departures. Dock coordinator function is critical for this to be successful
5. Assign all registrants to a spot on a boat
6. Collect information on fishing prize and report by categories
7. All boats should pick up and drop off at the CG station. (Boats will be given a launch number two weeks before they arrive, each number designated to a specific pick up time. Boats should stage outside of the basin until they are called in or tie up along the sea wall. Eight boats can be picking up at a time with a 15 minute window for each slot (32 boats per hour)).
8. Unloading should occur in the same fashion as launching but can occur as individual boats return as long as the 10 minute window is followed
9. Participant check in stations
10. Provide disposable cameras for boats and collect all cameras at end for development (task with non fishing team to mail pictures out after event to each participant and volunteer)
11. Agenda for Captain’s Meeting (Initiated)
12. Change schedule so head boats or charter boats arrive back at the same time as private boats
13. Have volunteers cleaning fish at USCG station cleaning station
14. Hire a head boat for inside fishing for kids and veterans



Site (Eric Floyd)
Initial Budget Estimate $1,000:
1. Confirm site (Complete)
2. Develop list of site requirements by end of November 2006 (insurance, contracts etc.) (Complete)
3. Develop parking plan (head in parking along the fence, allocate spots for trucks with boat trailers, dignitary parking etc..)
4. Acquire tents, tables and chairs (Complete)
5. Procure lighting, stages, audio equipment, verify electricity compatibility for performers
6. Arrange for clean up crews
7. Ensure all trash is collected


Finance (Dennis Pless)
Initial Budget Estimate $1000:
1. Goal of $75,000 to be raised
2. Develop fund raising plan by end of January 2007



Food (Dan Smith)
Initial Budget Estimate $15,000:
1. Develop Initial Budget Estimate for all food expenditures (Initiated)
2. Arrange food donations (Initiated)
3. Procure Barbecue company for cooking and serving (have estimates based on 1000 people by end of November 2006) (Initiated)
4. Purchase or arrange for donations of all plates, napkins, utensils
5. Ensure adequate trash can allocation
6. Develop site plan for food layout including cooking area (if applicable) and eating area
7. Create food and beverage list
8. Acquire ice, either purchase or donation
9. Provide a clean up crew
10. Include box lunches for participants on boats
11. Arrange for food for the Captains Meeting
12. Arrange for food for the volunteers
13. Arrange food for family member activities


Event Oversight (Rich Anderson)
Initial Budget Estimate $5000
1. Dual points of accountability for funds distribution and information release processes need to be created to guarantee oversight (Complete)
2. Banking accounts set up (post non profit organization creation)
3. Pay Pal address created
4. Detailed Budget Estimate creation by end 2006 (Initiated)
5. Weekly posting of all financial activity
6. Create Non profit organization with the sole purpose is putting on this event (Initiated)

Thanks Seacat. We have been putting a LOT of time into this lately.

HOTSPOT is going to build our webpage!
Dave @ fyingpantower.com is providing the server and hosting. The domain militaryappreciationday.org is registered for us.

The non profit org will be chartered next week.

I am really hoping to have all the big things DONE before Christmas. We are working on guest speakers, chartering boats (BTW.. The Continental Shelf has been reserved and we are working on one more head boat plus some smaller charters)

This is starting to shape up and come January, we will be seeking help in the prep work.

We are going to need a minimum of 70 volunteer boats this year. Hopefully, everyone that can participate will.
